‘It’s in here
somewhere.’
Information sits in emails, folders and people’s heads. Anyone who needs it starts by searching and asking around.
Office organisation, digitalisation and AI
We simplify processes, develop the right digital solutions and use AI where it genuinely takes work off your hands.
For leaders and teams in medium-sized businesses who want to achieve more –
with less effort.

Ralf Westphal, CTOLess
searching.
More doing.
There’s
an easier
way.
AI that
does the work.
Sound familiar?
Information sits in emails, folders and people’s heads. Anyone who needs it starts by searching and asking around.
The same data travels through several lists and programs. Every extra step costs time and can lead to mistakes.
The first experiments are done. Now AI should take on specific tasks and make day-to-day work noticeably easier.
We take a look with you
What can go?
What can be simpler?
And where can digital tools and AI take work off your hands?

From our work
Three stories. Real change.
Discover the difference.
Medium-sized joinery
Together with the service technicians and an in-house colleague, we built an app for everyday service work.
Print the form and hand it over.
Fill it in by hand and get it signed.
Transfer the data, write and send the invoice.
Type it all
in again?
One job.
One digital process.
From job
to invoice.
The app was built in two days of focused joint work. The key was involving the people who work with the process every day.
Company with around 2,000 employees
In around a year, a paper-heavy payroll department moved to a completely digital way of working.
Receive documents on paper or by email.
Print documents from emails and work on them.
File documents in personnel folders.
Digital in.
Paper out?
Paper stops
at the door.
Using AI.
Shaping it themselves.
The team now uses AI regularly in their daily work. Where suitable solutions were missing, they built their own small GPTs and apps.
Self-employed property and asset manager
Over two years, an office full of paper folders turned into a completely digital way of working.
Receive and collect documents on paper.
Sort papers and file them in folders.
Search the right folders at the office and piece the information together.
The information?
It’s at the office.
The office
comes along.
More productive.
More content.
Today she uses her MacBook as a matter of course and enjoys having all her information to hand wherever she is.
One visit. Everything done.
Less paper. More possibilities.
The office comes along. So does the freedom.
How we work
‘How could this
be simpler?’

We listen and look at people’s actual work together with them. Where is time spent searching, doing things twice or waiting unnecessarily? We speak the users’ language and understand the IT behind it.
Unnecessary steps and tools can go. Only then do we develop the right digital solutions and use AI where it takes work off your hands.
Leaving things out is a solution too.We develop with the users, try things out and support them until the new way of working functions in everyday life. So that your team can keep thinking ahead and shaping things itself.
More productive.
More content.
You don’t need to know how yet. Being willing to question familiar routines is a good start.

Andrea & Ralf · Work with Ease
We know the wishes and worries of employees, managers and business owners from our own experience – we have been in each of these roles ourselves. Together we find solutions that help both the people and the business. To do this, we combine an understanding of people, process know-how, creative and pragmatic approaches, and software development.

Andrea understands people and IT. She spots where processes are needlessly complicated, brings structure to them and finds pragmatic ways to simplify them.
She has always been interested in all things digital. She has found out for herself that you can build your own apps without any development skills – and done it.
Ralf comes from software development, built up his own software company and worked as a software trainer. He discovers and tries out new technical possibilities early on.
He analyses, thinks connections through and develops the right solutions – which now include many AI applications of his own.
We thrive when people ask questions, try things out and bring in their own ideas. That is exactly how we would like to work with you.
Any questions?
No. We start by looking at your processes together: what should be simpler, what can go and where is time being lost today? Only then do we decide which digital tools or AI applications fit.
Not necessarily. We check what can be improved with the tools you already have. New software comes into play when it solves a specific task better. Unnecessary tools can go along the way.
The people who work with the processes every day help to develop the solution. We listen, ask questions and try things out together. Training and support help to embed the new way of working in everyday life.
Not with a training course, but by taking a close look at your workplaces. AI opens up so many possibilities that a one-size-fits-all answer would not be serious. And AI adapts to your work, not the other way round. That is why we first take a close look at how you work today. Then we can find solutions that really fit. This is how we go about it.
The next step is a conversation.
Tell us what holds you up in your day-to-day work.
Together we’ll look at where things could be simpler.
You don’t need a finished plan yet.
